E&C Resolutions, Inc. (“CampReady,” “we,” “us,” or “our”) respects your privacy and is committed to protecting the information entrusted to us through the CampReady website, registration platform, applications, and related services (collectively, the “Services”).
This Privacy Policy explains how we collect, use, disclose, store, and protect personal information when you:
- Visit the CampReady website;
- Create or use a CampReady account;
- Register for a camp, program, club, league, or event through CampReady;
- Use CampReady on behalf of an organization; or
- Otherwise interact with CampReady.
This Privacy Policy applies to information processed by CampReady in connection with the Services.
1. INFORMATION WE COLLECT
The information we collect depends on how you interact with CampReady.
A. Information Provided by Families and Participants
When you register for a program or use CampReady, you may provide information such as:
- First and last name;
- Date of birth;
- Address;
- Email address;
- Phone number;
- Parent or guardian information;
- Emergency contact information;
- Authorized pickup information;
- Participant relationships;
- Registration and enrollment information;
- Program or session selections;
- Payment and transaction information;
- Allergies;
- Medication information;
- Medical or health-related information;
- Accommodation or accessibility information;
- Dietary information;
- Other information requested by the Organization.
Organizations determine which fields and questions are included in their registration forms.
You should provide only information that is accurate and necessary for the applicable registration or program.
B. Information Provided by Organizations
Organizations may provide CampReady with information about their staff, administrators, participants, families, programs, events, and operations.
This may include:
- Organization name and contact information;
- Administrator information;
- Staff information;
- Participant records;
- Registration information;
- Attendance information;
- Payment records;
- Program information;
- Communications;
- Forms and documents;
- Organization logos and branding;
- Reports and exports; and
- Other information necessary to operate the Organization's CampReady account.
C. Account Information
When you create an account, we may collect:
- Name;
- Email address;
- Phone number;
- Login credentials;
- Organization affiliation;
- Account preferences; and
- Other information necessary to establish and maintain your account.
Passwords are stored using appropriate security measures designed to protect them from unauthorized access.
D. Payment Information
When payments are made through CampReady, payment information may be processed by third-party payment processors.
Depending on the payment method, this may include:
- Billing name;
- Billing address;
- Payment card information;
- Transaction amount;
- Transaction date;
- Payment status; and
- Other information necessary to process the transaction.
CampReady does not need to receive or store complete payment card information when that information is processed directly by a third-party payment provider.
Payment processors may handle information according to their own privacy policies and terms.
E. Information Collected Automatically
When you visit or use CampReady, we may automatically collect certain technical information, including:
- IP address;
- Browser type;
- Device type;
- Operating system;
- Pages viewed;
- Date and time of access;
- Referring website;
- General usage information;
- Diagnostic information; and
- Information about interactions with the Services.
We may use cookies, pixels, local storage, logs, and similar technologies to operate, secure, analyze, and improve the Services.
2. HOW WE USE INFORMATION
We use personal information for legitimate business and operational purposes, including to:
- Provide and operate CampReady;
- Create and manage accounts;
- Process registrations;
- Facilitate payments;
- Provide customer support;
- Communicate with users;
- Send registration and account notifications;
- Support Organizations using CampReady;
- Maintain participant records;
- Facilitate attendance and check-in;
- Support emergency and medical information management;
- Provide reports and exports;
- Prevent fraud and misuse;
- Detect and address security incidents;
- Maintain and improve the Services;
- Troubleshoot technical issues;
- Understand how the Services are used;
- Comply with legal obligations;
- Enforce our agreements; and
- Protect the rights, safety, and security of CampReady, our users, and others.
We may also use aggregated or de-identified information for analytics, research, product development, and business purposes when the information no longer reasonably identifies an individual.
3. INFORMATION CONTROLLED BY ORGANIZATIONS
CampReady is designed to allow Organizations to collect and manage information about participants and families.
In many circumstances, the Organization determines:
- What information is collected;
- Why the information is collected;
- How the information is used;
- Who within the Organization can access it;
- How long the Organization needs it; and
- Whether the information is shared with other parties.
For example, a camp may request allergy information because it needs that information to operate its program safely.
When an Organization uses CampReady to collect your information, CampReady generally processes that information on behalf of the Organization to provide the Services.
If you have a question about why an Organization collected your information, how it uses the information, or whether it has shared the information, you should generally contact that Organization first.
4. EMERGENCY AND MEDICAL INFORMATION
CampReady may process information relating to allergies, medications, medical conditions, accommodations, emergency contacts, and other health-related information when an Organization chooses to collect such information.
This information is used to support the Organization's legitimate operational and safety needs.
CampReady does not independently determine:
- What medical information should be collected;
- Whether information is medically accurate;
- Whether a participant is medically fit to participate;
- What treatment should be provided; or
- Who should receive medical information.
Organizations are responsible for determining appropriate access to medical and emergency information and for complying with applicable laws governing such information.
CampReady provides technology to help Organizations manage this information but does not provide medical advice or medical care.
5. CHILDREN'S PRIVACY
CampReady recognizes the importance of protecting children's privacy.
CampReady may process information relating to children participating in camps, clubs, recreation programs, and other youth activities.
When applicable, CampReady complies with the Children's Online Privacy Protection Act (“COPPA”) and other applicable children's privacy requirements.
Organizations using CampReady are responsible for appropriately configuring their registration processes and providing required notices and obtaining required parental or guardian permissions.
Where CampReady has obligations under COPPA, we will take appropriate steps to:
- Provide required notices;
- Obtain or support obtaining verifiable parental consent when required;
- Limit collection of children's information to information reasonably necessary for the applicable purpose;
- Provide appropriate parental rights;
- Maintain reasonable safeguards; and
- Follow applicable requirements regarding retention and deletion.
Parents and legal guardians may contact CampReady regarding personal information associated with their child.
Depending on the circumstances, CampReady may direct the parent or guardian to the Organization that collected or controls the information.
6. HOW WE SHARE INFORMATION
We do not sell personal information as a condition of using CampReady.
We may disclose personal information in the following circumstances:
A. To the Organization
When you register for a program through CampReady, information you provide may be made available to the Organization operating that program and its authorized personnel.
The Organization determines which personnel may have access to information within its CampReady account.
B. To Service Providers
We may share information with vendors and service providers that help us operate CampReady, such as providers supporting:
- Cloud hosting;
- Payment processing;
- Email and communications;
- Customer support;
- Analytics;
- Security;
- Data storage;
- Error monitoring;
- Software infrastructure; and
- Other business operations.
These providers may access information only as reasonably necessary to provide services to CampReady and are expected to maintain appropriate safeguards.
C. At Your Direction
We may disclose information when you direct us to do so or authorize an integration or connection with another service.
D. For Legal Reasons
We may disclose information when we reasonably believe disclosure is necessary to:
- Comply with applicable law;
- Respond to lawful requests from government authorities;
- Protect the rights or property of CampReady;
- Protect the safety of users or others;
- Investigate fraud or abuse;
- Enforce our agreements; or
- Respond to an emergency.
E. Business Transactions
If CampReady is involved in a merger, acquisition, financing, reorganization, bankruptcy, sale of assets, or similar transaction, personal information may be transferred as part of that transaction, subject to applicable law.
7. THIRD-PARTY INTEGRATIONS
CampReady may integrate with third-party services, including payment processors, accounting platforms, communication services, and other applications.
If an Organization or user enables an integration, CampReady may share information with the applicable third party as necessary to provide the requested functionality.
Third-party services operate under their own privacy policies and terms.
CampReady is not responsible for the privacy practices of third-party services that operate independently from CampReady.
8. COOKIES AND SIMILAR TECHNOLOGIES
CampReady may use cookies and similar technologies to:
- Keep users signed in;
- Remember preferences;
- Maintain security;
- Understand how users interact with the Services;
- Diagnose technical issues;
- Measure website performance; and
- Improve the Services.
Some cookies may be provided by third-party service providers.
You may be able to control cookies through your browser settings. Disabling certain cookies may affect the functionality of CampReady.
9. ANALYTICS AND DE-IDENTIFIED INFORMATION
We may use analytics tools to understand how users interact with CampReady.
We may also create aggregated or de-identified information from personal information.
We may use aggregated or de-identified information for purposes such as:
- Product development;
- Performance analysis;
- Research;
- Reporting;
- Business planning;
- Security; and
- Service improvement.
We will not attempt to re-identify information that has been de-identified except where permitted or required by law.

CampReady uses reasonable administrative, technical, and organizational safeguards designed to protect personal information.
These measures may include:
- Access controls;
- Authentication mechanisms;
- Encryption where appropriate;
- Monitoring;
- Security testing;
- Vendor controls;
- Logging and auditing; and
- Other safeguards appropriate to the nature of the information.
However, no internet-based system can be guaranteed to be completely secure.
You are responsible for protecting your account credentials and should notify CampReady promptly if you believe your account has been compromised.
11. DATA RETENTION
We retain personal information for as long as reasonably necessary to:
- Provide the Services;
- Maintain accounts;
- Support Organizations;
- Complete transactions;
- Meet legal obligations;
- Resolve disputes;
- Prevent fraud and abuse;
- Enforce agreements; and
- Protect the security of our Services.
Organizations may establish their own retention requirements for participant information.
When information is no longer reasonably necessary, we may delete, anonymize, or securely dispose of it, subject to applicable legal, operational, and contractual requirements.
12. YOUR PRIVACY RIGHTS
Depending on where you live and applicable law, you may have rights regarding your personal information.
These rights may include the ability to:
- Request access to personal information;
- Request correction of inaccurate information;
- Request deletion of personal information;
- Request information about how personal information is used or disclosed;
- Object to or restrict certain processing;
- Request a copy of certain information; and
- Withdraw consent where processing is based on consent.
Not every right applies in every circumstance.
If your information was collected by an Organization through CampReady, the Organization may be the appropriate party to respond to your request.
We may need to verify your identity before completing certain requests.
13. PARENTAL RIGHTS
Parents and legal guardians may have rights regarding personal information collected from or about their children.
Depending on applicable law, parents or guardians may request to:
- Review personal information collected about their child;
- Request correction of inaccurate information;
- Request deletion of their child's information;
- Withdraw consent where applicable; and
- Ask questions about how their child's information is being used.
Requests may be directed to CampReady or the Organization that collected the information.
Where an Organization controls the information, CampReady may refer the request to that Organization.
14. CALIFORNIA AND OTHER STATE PRIVACY RIGHTS
Certain U.S. states provide residents with additional privacy rights.
Depending on applicable law and whether the law applies to CampReady, residents may have rights concerning:
- Access to personal information;
- Correction;
- Deletion;
- Portability;
- Opting out of certain forms of processing;
- Appeals of privacy-request decisions; and
- Information about categories of personal information collected or disclosed.
CampReady does not sell personal information in the traditional sense.
CampReady will not discriminate against an individual for exercising privacy rights provided by applicable law.

We may need to verify your identity before responding to a request.
15. DO-NOT-TRACK SIGNALS
Some web browsers offer a “Do Not Track” setting.
Because there is currently no universally accepted standard for responding to browser-based Do Not Track signals, CampReady may not respond to such signals.
Where required by applicable law, CampReady will honor legally recognized privacy preference signals.
16. EMAIL AND COMMUNICATION PREFERENCES
CampReady may send service-related communications, including:
- Account notices;
- Registration confirmations;
- Payment notifications;
- Security alerts;
- Important service announcements; and
- Other communications necessary to provide the Services.
These communications are generally necessary to operate your account and may not be subject to marketing opt-out preferences.
Where CampReady sends promotional communications, you may unsubscribe using the instructions included in those communications.
Organizations are responsible for communications they send to participants through CampReady.
17. DATA TRANSFERS
CampReady operates in the United States and is intended primarily for users and Organizations located in the United States.
Information may be processed or stored by CampReady and its service providers in locations within the United States.
If information is processed outside the United States in the future, CampReady will take steps required by applicable law.
18. THIRD-PARTY WEBSITES
CampReady may contain links to websites or services operated by third parties.
This Privacy Policy does not apply to those third-party websites.
We encourage you to review the privacy policies of third-party websites before providing personal information.
19. INFORMATION FROM OTHER SOURCES
We may receive information from third parties when necessary to provide the Services.
For example, an Organization may provide participant information to CampReady, or a payment provider may provide transaction status information.
We may combine information received from different sources when reasonably necessary to provide, secure, and improve the Services.
20. ACCOUNT AND INFORMATION DELETION
You may request deletion of your CampReady account or certain personal information, subject to applicable law and legitimate retention requirements.
If you are a participant or parent whose information was collected through an Organization, deletion requests may need to be directed to that Organization.
Deleting an account may not automatically delete information that an Organization is legally or operationally required to retain.
Certain information may also remain in backups for a limited period before being securely deleted or overwritten.
21. CHANGES TO THIS PRIVACY POLICY
We may update this Privacy Policy periodically.
If we make material changes, we may provide notice through the Services, by email, or by posting an updated Privacy Policy with a new effective date.
Your continued use of the Services after the updated Privacy Policy becomes effective constitutes acknowledgment of the changes to the extent permitted by law.

23. IMPORTANT INFORMATION FOR ORGANIZATIONS
Organizations using CampReady are responsible for their own privacy practices.
Organizations should:
- Collect only information reasonably necessary for their programs;
- Provide appropriate privacy notices to participants and families;
- Obtain required consents;
- Configure account permissions appropriately;
- Limit access to participant information;
- Protect login credentials;
- Use participant information only for legitimate purposes;
- Follow applicable federal, state, and local privacy laws;
- Establish appropriate retention and deletion practices; and
- Respond appropriately to participant and parent privacy requests.
CampReady provides technology to help Organizations manage information but does not replace an Organization's legal or privacy obligations.
